At A Taste of Salsa, community and trust sit at the heart of what we do. This Privacy Policy explains how A Taste of Salsa Limited (“AToS”, “we”, “us” or “our”) collects and uses personal information when you visit our website, contact us, join our community or book an AToS Experience.
This policy covers AToS’s use of personal information. Independent travel agents and package organisers have their own privacy notices and are responsible for the information they collect for flights, accommodation, transfers and package-travel arrangements.
1. Who we are and how to contact us
A Taste of Salsa Limited is the controller of the personal information described in this policy.
You can contact us about privacy by emailing info@atasteofsalsa.com. You may also write to A Taste of Salsa Limited at the registered office shown on the Companies House register.
This policy applies to atasteofsalsa.com and to AToS booking, enquiry and customer communications connected with that website.
2. AToS and independent Travel Partners
AToS provides hosted social, dance, music and community Experiences. We do not sell or administer package holidays.
Flights, accommodation, transfers and package-travel arrangements are sold and administered under a separate contract by the independent travel agent or package organiser identified during booking and in your travel confirmation (the “Travel Partner”). Different Experiences may use different Travel Partners.
AToS and the Travel Partner are separate controllers for their respective activities. The Travel Partner’s privacy notice explains how it handles passport, travel, payment and package-booking information.
Where coordination is necessary, AToS shares only a traveller’s first name and surname with the relevant Travel Partner. We do not store passport details or complete payment-card details. Please provide passport and other travel information directly to the Travel Partner through its approved process.
We use information for this limited coordination because it is necessary to administer the AToS Experience and our relationship with you, and because we have a legitimate interest in matching AToS participants with the correct separate travel booking. We do not share dietary, accessibility, mobility or other health information with a Travel Partner unless you specifically ask us to do so and we have an appropriate lawful basis.
3. Information we collect
Depending on how you interact with us, we may collect:
- Your name, email address, telephone number and postal address.
- Your account, enquiry, form and correspondence information.
- AToS Experience booking details, participant names, preferences, attendance and transaction records.
- Marketing choices and records of when and how you subscribed or unsubscribed.
- Messages sent through email, website forms or WhatsApp Business.
- Dietary, accessibility and mobility information that you choose to provide where needed to support your participation.
- Technical information such as IP address, device and browser information, website activity, cookie choices and analytics information.
- Information needed to investigate complaints, incidents, safety concerns, fraud or misuse.
- Photographs or video connected with AToS activities where relevant to website galleries or communications.
A Booking Leader may give us another participant’s name or support information. The Booking Leader should make sure that the participant knows their information is being provided to AToS and has access to this policy.
We do not use solely automated decision-making that produces legal or similarly significant effects.
4. How and why we use personal information
Enquiries and customer service
We use contact details and correspondence to answer questions, provide requested information and manage our relationship with you. We rely on steps taken at your request before a contract and our legitimate interests in responding and providing customer service.
AToS Experience bookings
We use booking and participant information to take payment, confirm and administer the AToS Experience, communicate important information, provide activities and handle changes, cancellations and refunds. We rely on performance of our contract with you and steps taken at your request before entering that contract.
Legal, financial and business records
We keep appropriate transaction, accounting and tax records and respond to lawful requests. We rely on legal obligations and our legitimate interests in managing and protecting the business.
Security, safety and complaints
We may use relevant information to protect participants, prevent fraud or misuse, maintain website and account security, manage incidents, establish legal claims and resolve complaints. We rely on legal obligations and legitimate interests in safety, security and dispute resolution.
Marketing and community updates
We use contact details and marketing preferences to send newsletters, event news and community updates where you have consented or where the electronic-marketing rules allow us to contact an existing customer about similar services. We use consent and, where permitted, our legitimate interests in promoting relevant AToS activities.
You can unsubscribe at any time using the link in an email or by contacting us. You always have the right to object to direct marketing. We may keep a minimal suppression record so that we respect your choice not to receive further marketing.
5. Dietary, accessibility and mobility information
Information about dietary needs, accessibility or mobility can reveal information about health, religion or belief and may be special-category information.
We ask for this information only where it helps us understand and support your participation. Providing it is normally optional. We rely on your explicit consent in addition to the appropriate ordinary lawful basis. You may withdraw consent by contacting us, although this may limit the support or adjustment we can arrange.
We restrict access to people who need the information and delete or anonymise it when it is no longer needed, subject to any legal, safety or claims-related requirement.
6. Website forms, email and customer systems
Website forms may be provided through Fluent Forms Pro. Enquiry and customer information may be stored or managed using FluentCRM Pro and Microsoft 365 so that we can respond, administer bookings and keep appropriate records.
Information entered into a form is used for the purpose explained beside that form and as described in this policy. Required fields are limited to information reasonably needed for that purpose.
7. Bookings and payments
Our website uses WooCommerce to support online orders and booking administration. Payments may be processed by Stripe or through Monzo Bank.
Payment providers receive the information necessary to process and protect a transaction. Their own privacy notices apply to processing they carry out as independent controllers. AToS receives transaction confirmations and accounting information but does not store complete payment-card details.
We use booking and payment information to perform our contract, comply with financial and tax obligations, prevent fraud and maintain accurate business records.
8. WhatsApp Business
If you contact us through WhatsApp Business, Meta and WhatsApp process information under their own terms and privacy notices. Your telephone number, profile information, message content and message metadata may be processed through that service.
We use WhatsApp to respond to messages and, where appropriate, support an existing booking. We send promotional WhatsApp messages only where we have the required permission. You can ask us to stop at any time.
Please do not send passport details, complete payment-card details or unnecessary sensitive information through WhatsApp.
9. Cookies and Google Analytics
Cookies and similar technologies help the website operate, remember choices, support accounts and checkout, understand website use and display third-party content.
Strictly necessary cookies
These support essential functions such as security, account access, basket and checkout. They do not normally require consent, but we explain their use.
Analytics cookies
We use Google Analytics to understand how visitors use the website and improve its content and performance. Where the law requires it, analytics is activated only after you consent through the website’s cookie controls.
Functional and third-party content
Embedded video, social-media or other third-party features may set cookies or collect information when activated. We seek consent before non-essential technologies are used where required.

10. Photographs, video and website galleries
AToS activities may be photographed or filmed. We provide reasonable notices at organised events and explain how people can raise a concern or ask not to be the focus of promotional content.
Where we rely on consent for a focused promotional portrait, interview or testimonial, participation is optional and consent can be withdrawn for future use. For appropriate general event coverage, we may rely on our legitimate interests in documenting and promoting the AToS community, balanced against individual privacy rights.

11. Who receives personal information
We share information only where necessary and proportionate. Recipient categories may include:
- The relevant independent Travel Partner, limited to first name and surname as described above.
- Website, hosting, security and technical-support providers.
- WooCommerce and connected e-commerce providers.
- Stripe, Monzo and other payment or banking providers.
- Fluent Forms, FluentCRM and Microsoft 365 service providers.
- Google for consented analytics and relevant website services.
- Meta and WhatsApp when you choose to use WhatsApp Business or interact with connected social features.
- Professional advisers, insurers, authorities, courts or regulators where reasonably necessary or legally required.
- Event venues or service providers where necessary to deliver an AToS service, with special-category information shared only when lawfully justified and appropriately limited.
Some providers process information for us under contract. Others are separate controllers and provide their own privacy information.
We do not sell personal information.
12. International transfers
Some technology, analytics, communications and payment providers operate internationally. This means personal information may be stored in, accessed from or transferred to countries outside the UK.
Where UK transfer rules apply, we use a lawful transfer mechanism, such as UK adequacy regulations, an approved contractual safeguard or another permitted mechanism. We also consider appropriate technical and organisational protections. Contact us if you would like more information about safeguards relevant to your information.
13. How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected and to meet legal, accounting, safety and claims-related requirements.
When deciding a retention period, we consider the type and sensitivity of the information, the relationship and booking lifecycle, whether an account remains active, legal record-keeping duties, limitation periods, complaint or incident needs and whether information can be securely deleted or anonymised.
- Enquiries and routine correspondence are reviewed and deleted when no longer useful for the enquiry or customer relationship.
- Booking, transaction and financial records are retained for the contract, accounting and tax periods that apply.
- Dietary, accessibility and mobility information is removed or anonymised when it is no longer required for the Experience, unless a legal, safety or claims-related reason requires longer retention.
- Marketing information is kept while you remain subscribed or until an inactivity review, with a minimal suppression record retained after an objection or unsubscribe.
- Complaint, incident and legal records are kept for as long as reasonably necessary to investigate, resolve and protect legal rights.
- Cookie and analytics information follows the periods described through the cookie controls and relevant provider settings.
14. Security
We use proportionate technical and organisational measures intended to protect personal information against unauthorised access, loss, misuse, alteration or disclosure. These include access controls, appropriate service-provider arrangements, account security, staff awareness and secure deletion practices.
No online system can be guaranteed completely secure. Please use strong passwords, keep account details confidential and contact us promptly if you suspect misuse.
15. Your privacy rights
Depending on the circumstances and lawful basis, you may have the right to:
